Job Description:
Position Summary: -As the Vice President of Tenant Coordination,
you will play a pivotal role in ensuring the seamless integration
of tenants into our commercial properties. You will lead a team
responsible for coordinating all aspects of tenant build-outs, from
initial planning to project completion, while maintaining the
highest standards of quality, efficiency, and tenant satisfaction.
Your expertise in construction management, project coordination,
and tenant relations will be instrumental in our ongoing success.
This position reports directly to the Chief Operating Officer and
collaborates with leasing, legal, operations, construction,
finance, and accounting departments. -Essential job functions
including, but not limited to: -
--- Tenant Coordination Leadership: Lead and oversee the Tenant
Coordination department, including a team of Tenant Coordinators
and Project Managers. Provide guidance, mentoring, and support to
ensure the successful execution of tenant build-out projects. -
--- Tenant Relations: Establish and maintain strong relationships
with tenants, acting as the primary point of contact for all tenant
coordination matters. Proactively address tenant concerns and
facilitate smooth communication between tenants and the
organization. -
--- Project Planning: Collaborate with tenants to understand their
build-out requirements, timelines, and budgets. Develop
comprehensive project plans, budgets, and timelines to ensure
successful project execution. Review and approve tenant plans as
necessary. -
--- Lease Review: Develop, review, and negotiate Landlord Work
Letters, with leasing and legal departments, outlining landlords
deliver of space to tenant. -
--- Construction Management: Manage the end-to-end construction
process, including project scoping, bidding, contracting, and
oversight of construction activities. Ensure that all projects are
completed on time, within budget, and to the highest quality
standards. -
--- Budget and Cost Management: Develop and manage project budgets,
ensuring cost-effective solutions while maintaining quality
standards. Track project expenses, approve invoices, and report on
budget performance regularly. -
--- Compliance and Regulations: Stay up-to-date with local building
codes, zoning regulations, and permitting requirements. Ensure all
tenant build-out projects are in compliance with applicable laws
and regulations. -
--- Vendor and Contractor Management: Select, contract, and manage
third-party vendors, contractors, and suppliers. Negotiate
contracts, monitor performance, and ensure adherence to project
timelines and budgets. -
--- Quality Assurance: Implement and maintain quality control
processes to ensure that all tenant build-out projects meet or
exceed company standards and tenant expectations. -
--- Reporting and Documentation: Maintain accurate and organized
project records, including contracts, permits, change orders, and
project correspondence. Generate regular reports on project status
and financial performance. -
--- Continuous Improvement: Identify opportunities for process
improvement and implement best practices within the Tenant
Coordination department to enhance efficiency and effectiveness.
-Education & Experience: -
--- Bachelor's Degree in Design, Architecture, Construction
Management or related field. -
--- Minimum 10 years' experience in related field (Architect,
Construction Management, Tenant Coordination a plus). -
--- Architectural background and a sense of style and design and an
understanding of construction are essential. -
--- Proven management skills in dealing with complex projects.

--- Reads and understands construction drawings and specifications;
detailed knowledge of construction and building components -
--- Analytical and problem solving abilities. -
--- Strong communication and presentation skills. -
--- Effective interpersonal skills. -
--- Ability to prioritize multiple projects in a high-volume,
fast-paced environment. -
--- Detail oriented; organized. -
--- Ability to interpret and explain complex instructions. -
--- Work well under pressure, meets deadlines consistently. -
--- Ability to read, comprehend and create budgets, schedules and
construction documents. -
--- Experience working on CAD, Excel, and Word required. -Employee
